Job Description

The Service Parts Coordinator plays a key role in supporting service operations by managing the inventory, procurement, and distribution of parts and supplies related to equipment. This position ensures that field technicians have timely access to the necessary parts to perform equipment repairs and maintenance efficiently.

Responsibilities Include:

  • Inventory Management:
    • Maintain accurate inventory of equipment parts, cleaning machinery components, and related service materials.
    • Monitor stock levels and reorder parts proactively to avoid shortages or downtime.
    • Conduct routine cycle counts and full inventory audits.
  • Procurement & Vendor Coordination:
    • Track purchase orders and ensure timely delivery of parts.
  • Logistics & Distribution:
    • Receive, inspect, and organize incoming parts and materials.
    • Prepare and dispatch parts to service technicians across various job sites or service centers.
    • Manage returns and warranty claims with vendors and manufacturers.
  • Service Team Support:
    • Coordinate with field technicians to determine required parts for repair work orders.
    • Maintain clear communication on parts availability, expected delivery times, and backorder statuses.
    • Provide guidance on parts compatibility and substitutions as needed.
  • Documentation & Reporting:
    • Keep detailed records of all part transactions, including usage, costs, and serial numbers where applicable.
    • Generate usage and cost reports to assist with budgeting and performance analysis.
    • Ensure all records are compliant with company policies and regulatory standards.

Other duties as assigned.

The Ideal Candidate Will Have:

  • High school diploma or GED required; technical or trade school training a plus.
  • 2+ years of experience in parts coordination, inventory management, or a similar role—preferably in the janitorial or facilities maintenance industry.
  • Strong computer skills, including inventory software and Microsoft Excel.
  • Excellent organizational and multitasking abilities.
  • Strong communication skills and a customer service mindset.
  • Some lifting of parts and equipment up to 50 lbs may be required.
  • Physical Requirements: While performing the duties of this job, the employee will regularly sit at a desk for long periods, operate a computer, and listen/speak clearly on the phone and in-person.
  • Pre-Employment Screening: Ability to successfully pass job-related pre-employment screenings to include a criminal background check and drug test.
