Description & Requirements
We are in search of a Parts Coordinator to join our growing team. This position is responsible for parts research, ordering, inventory control, and customer support. This position requires frequent communication with service technicians via phone and email, research of parts using technical diagrams and schematics, and daily use of ERP / related systems for ordering, tracking and shipping parts.
Responsibilities Include:
Parts & Inventory Oversight
- Research and identify correct parts using manufacturer diagrams, schematics, and parts breakdowns.
- Order parts through ERP and vendor systems; manage purchasing, receiving, stocking, pricing, and shipping.
- Process drop-ship orders and track backorders.
- Maintain accurate inventory levels, set points, and reorder points.
- Perform regular cycle counts to ensure inventory accuracy.
- Monitor slow-moving inventory and advise management accordingly.
- Maintain accurate parts data in ERP, including descriptions, cost, list price, item numbers, and cross-references.
Communication & Customer Support
- Communicate daily with service technicians by phone and email to confirm part numbers, troubleshoot parts needs, and clarify repair requirements.
- Provide professional and timely communication with customers regarding parts availability, pricing, order status, and shipping timelines.
- Assist walk-in customers and support counter sales as needed.
- Maintain close communication with management regarding customer repairs, parts issues, and service-related concerns.
Service Department Support
- Assist Service Coordinators with estimate building and parts procurement for repair work.
- Support new equipment demo orders and rental requests as needed.
- Cross-train in all administrative and service support functions to provide coverage when required.
- Assist in documenting and maintaining updated Service Department procedures.
Systems & Administrative Responsibilities
- Utilize ERP systems and other vendor platforms for parts ordering, tracking, invoicing, and shipping.
- Maintain accurate purchasing and inventory guidelines within the system.
- Respond promptly to emails, voicemail, and internal communications.
- Attend meetings as scheduled and maintain regular, predictable attendance.
Compliance & Company Standards
- Promote and support the Mission, Vision, and Values.
- Complete all OSHA and HR-required training within required timelines.
- Maintain confidentiality of company and affiliate business matters.
- Maintain a safe work environment and follow all safety policies.
- Additional duties or special projects as assigned.
The Ideal Candidate Will Have:
- A minimum of 1-4 years of experience in similar roles and /or training or 1 year certificate from college or technical school or equivalent combination of both.
- Experience with a service department or mechanical parts environment is preferred.
- Experience with purchasing, inventory or parts coordinator is preferred.
- Ability to read and interpret parts diagrams, schematics and technical documentation.
- Strong organization skills and ability to manage multiple priorities. Detail-oriented with strong follow-through. Professional customer service mindset.
- Experience working with ERP systems and other software platforms for ordering and inventory management. Proficient in Microsoft Office.
- Physical Requirements: Ability to physically sit at a desk for long periods, operate a computer and listen/speak clearly on the phone and in person Frequently lift 10-50 pounds. Ability to use hands and arms to handle parts and equipment.
- Ability to pass job-related employment screenings.
