Administrative Assistant 

 

We are searching for an Administrative Assistant to join our growing team.  

 

Responsibilities Include:  

  • Compose, modify and proofread correspondence, reports, and presentations. Design and prepare general correspondence, memos, meeting minutes, spreadsheets, presentations, agendas, reports, special projects and other documents in support of distribution center operations and objectives.
  • Manage general administrative activities such as arranging travel and accommodations, preparing and processing expense reports, reconciling and posting credit card charges, and arranging logistics and catering for internal meetings, and events.
  • Handle sensitive matters with a high level of confidentiality, integrity, and discretion, especially decisions directly impacting the operations of the distribution center.
  • Represent the team both internally and externally and interface with staff at all levels with the highest level of professionalism and in a manner that reflects positively on the organization.
  • Lead the Safety Committee including the coordination and administration of training, and records management.
  • Act as office Information Technology Liaison, responsible for collaborating with the IT Service Desk to provide troubleshooting, guidance and solutions to both technical and general inquiries or issues, such as password resets, software glitches, hardware malfunctions or setup.
  • Order flowers, fruit baskets, and plants for special occasions.
  • Provide support to the customer service department during peak periods.
  • Oversee the management of expiring products.
  • Handle SLOB  inventory management.
  • Conduct daily reviews of open orders.
  • Serve as a backup for order billing tasks.
  • Serve as backup for the daily cash reconciliation process.
  • Update production reports for the warehouse and fleet, including details on overtime, warehouse activities, and driver-related information.
  • Manage cell phone accounts and usage.
  • Procure and manage office supplies, including but not limited to office essentials, coffee, business cards, and nameplates.
  • Process returns for credit from customers.
  • Handle FedEx claims.
  • Assist in coordinating building and equipment repair and maintenance requirements.
  • Provide backup support for operational duties as necessary.
  • Perform other assigned duties as needed.


The ideal candidate will have 

 

  • Previous administrative experience.
  • Proficient in Microsoft Word, Excel and PowerPoint.
  • Previous AS400 (Aplus) experience preferred.
  • Decision making and problem resolution abilities
  • Previous WAXIE customer service or warehouse experience a plus.
  • Ability to multi-task between several projects.
  • Excellent communication and relationship building skills
  • Strong attention to detail
  • Excellent customer service skills.
  • Ability to work with a diverse group of individuals.
  • Ability to lift and carry up to 50 lbs.
  • High school diploma or equivalent.

Compensation & Benefits: 

The pay range for this role is $24.03-$29.80 hour. This range represents what the company reasonably expects to pay an associate for this role based on current market data, internal equity, and other business factors. The actual compensation offered may vary depending on factors such as relevant experience, qualifications, geographic location, and other considerations.
