Job Description

We are in search of an Account Coordinator to join our growing team. The Account Coordinator is responsible for providing professional coordinating work/customer service support for Sales Consultant(s), selling to the walk-in trade, performing administrative tasks and assist with overseeing showroom and branch facility in regard to maintenance, cleanliness, safety and reducing overhead costs.  Achieving or exceeding sales forecasts for the showroom. Opening and closing branch and working alone in the branch as needed.  

 

 

Responsibilities Include: 

  • First-line responsibility to ensure the branch is open on time for daily business, and closed, locked and alarmed at the end of the business day.

 

  • Phone answering. This consists of customer assistance with general requests for product information, literature, pricing information, placing orders, etc. and communicating these requests/advising on status to appropriate sales consultants.

 

  • Provide support to Sales Consultants with order entry, coordination of special shipping requirements, advising on status of orders; assist with keeping open orders current, and data entry.        Keep Sales Consultant(s) abreast of customer contacts/issues.  Assist Sales Consultant(s) with preparation of letters, quotations, bids, proposals and other documentation for mailing, presentation to customers; or preparation of in-services/training, seminars and mailings.

 

  • Oversee Showroom: Provide sales assistance and customer service to walk-in trade.  Continually work towards achieving or exceeding sales forecasts for the showroom.  Maintain the appearance of product displays, keep product neat, clean and organized and shelves filled; product tagged with item numbers/pricing; Product displays should change periodically to promote customer interests and encourage customer flow throughout the showroom, and be safety wise. Track walk-in trade as per guidelines. 

 

  • Ensure branch has appropriate and current literature and SDS; keep filing system current for these items.  Monitor office supplies and maintenance of office machines/computers (in coordination with Corporate).        Maintain the branch inventory of demo equipment and the branch video library.  Keep customer records filed and current; miscellaneous information organized and filed on a regular basis.

 

  • Responsible for inventory control and cycle counting, in coordination with Corporate. Process transfer orders per guidelines. 

 

  • First-line responsibility for all cash flow within the Branch, including daily receipts, petty cash, daily register balance, and deposits.  Coordination/training of this with Corporate Accounting Manager.

 

  • Assist with maintaining the appearance of the office/showroom and building.  Assist with general maintenance, air/heat control, safety, and reducing overhead costs.  Building/maintenance concerns to be reviewed with Director of Operations.

 

  • Assist/coordinate as needed with set-up of meetings held at this branch location.

 

  • Assist driver(s) if needed with coordination of incoming and outgoing freight.  Assist with maintaining an orderly warehouse and CPU area. Assist with ensuring all DOT and safety guidelines are followed at all times.

 

  • Assist with development, maintenance and standardization of written procedures covering basic "how-to" functions of branch operation.

 

  • Embrace and promote the Vision, Mission and Values.

 

  • Responsible for timely responses and utilization of the communication tools available, such as voice mail, e-mail, pagers, etc.        Attends, participates and arrives on time to meetings when scheduled; arrives to work on time and ready to work.

 

  • Complete all OSHA/HR training within the required timelines.

 

  • Additional duties or special projects as assigned.

 

 

The Ideal Candidate Will Have: 

  • EDUCATION and/or EXPERIENCE   One year certificate from college or technical school; or one to three years related experience and/or training; or equivalent combination of education and experience.
  • LANGUAGE SKILLS   Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.  Ability to write reports, business correspondence, and procedure manuals.        Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
  • MATHEMATICAL SKILLS   Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area. 
  • REASONING ABILITY   Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization may exist. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

 

  • COMPUTER SKILLS  Knowledge and proficiency in Windows, Microsoft Office and general data entry. Ability to learn and be proficient in industry software.

 

  • PHYSICAL DEMANDS  The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.  While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear.  The employee frequently is required to walk, occasionally required to stand; climb or balance; stoop, kneel, crouch, or crawl; and smell.  The employee must regularly lift and/or move up to 10 pounds, frequently lift and/or move up to 25 pounds, and occasionally lift and/or move up to 100 pounds with assistance.  Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus.

 

  • TOOLS AND EQUIPMENT USED: Computers, word processors, printers, calculator, fax machine, voice mail, phone system, bankcard machine, copy machine. Small hand tools such as hammers, screwdrivers, ladders.  Two-wheel dollies, pallet jacks, forklift, etc.  Current software:  Microsoft Word/Office, Windows, industry specific software for order entry, inventory pricing, sales figures, margins, etc.  This would also include any new software products or programs adopted by KSS.  Use of facility supplies and equipment for building maintenance needs and demonstration of product and/or equipment to customers
