The Government Operations & Bid Coordination specialist is responsible for managing the end-to-end lifecycle of bid submissions across the region. This includes identifying upcoming opportunities, coordinating internal resources, ensuring timely and compliant submissions, and supporting post-bid analysis. The team acts as a central hub between sales, pricing, operations, and general managers to ensure strategic alignment and execution excellence. Additionally, the team is responsible for establishing e-commerce credentials for federal customers, handling customer support requests related to pricing, operations, and sales, placing customer orders into the internal ERP system, and providing comprehensive support for federal contract management, including compliance reporting, and customer engagement.
Responsibilities Include:
- Bid Identification & Research
- Monitor bid portals and procurement sites to identify upcoming opportunities.
- Coordinate with General Managers to ensure appropriate sales rep coverage for each opportunity.
- Bid Submission & Coordination
- Collect and organize cost contracts and pricing inputs from suppliers and internal stakeholders.
- Manage the bid calendar and ensure timely submission of all required documentation.
- Facilitate internal bid reviews and sign-offs, including pre-bid forms and compliance checks.
- Cross-Functional Collaboration
- Work closely with Sales, Pricing, Legal, and Operations teams to gather necessary inputs.
- Serve as the liaison between field reps and the bids team to clarify requirements and expectations.
- Pricing Setup & Support
- Coordinate bid pricing setup in internal systems.
- Validate pricing accuracy and ensure alignment with margin targets and contract terms.
- Post-Bid Analysis
- Track bid outcomes and analyze win/loss trends.
- Provide feedback to stakeholders and support continuous improvement efforts.
- Federal Contact Support
- Establish E-commerce credentials for Federal customers
- Field incoming phone and email customer support requests covering pricing, operations, and sales.
The Ideal Candidate Will Have:
- Strong organizational and project management skills.
- Excellent written and verbal communication.
- Proficiency in Excel, Word, and PowerPoint.
- Experience in government or institutional bidding preferred.
- Ability to work cross-functionally and manage multiple priorities under tight deadlines.
- Physical Requirements: While performing the duties of this job, the employee is regularly required to physically sit at a desk for long periods, operate a computer, and listen/speak clearly on the phone and in-person.
- Pre-Employment Screening: Ability to successfully pass job-related pre-employment screenings to include a criminal background check and drug test.
