Description & Requirements
The Accounts Payable Specialist compiles and maintains accounts payable records as well as processing and posting invoices and payments for assigned accounts in specified timeframes.
Essential Responsibilities:
• Performs calculations, posting invoices, verifies pricing, quantity and receipt of items through proper documentation.
• Obtains and/or verifies proper invoice coding and authorizations to initiate payments.
• Ensures all cash discounts are taken 100% of the time within terms.
• Update POD rebate spreadsheet for billed rebates, credits issued and process vendor payments within specified terms.
• Reconciles monthly statements and various other month-end duties as requested. Works with other departments/branches for accurate reporting and obtaining proper documentation
• Maintains new vendor files and answers all vendor inquiries.
• Handles all correspondence (phone, mail, fax, email) from suppliers, provides payment information upon request.
• Prepares, mails and maintains copies of checks, vouchers, invoices or correspondence for future reference.
• Assists in monthly closings.
• Performs filing and coping.
• Additional duties or special projects as assigned.
Experience, Education, and Physical Requirements:
• High School Diploma required, some college preferred.
• 2-4 years’ experience in accounts payable or related field
• Strong organizational and multi-tasking skills required.
• Ability to prioritize and to multi-task in a fast-paced environment.
• Ability to handle confidential information in a discreet, professional manner and exercise discretion.
• Strong communication skills both verbal and written required.
• Ability to be an effective team member and display initiative.
• Intermediate math skills required.
• Proficient with Microsoft office suite of products (Word, Excel, etc.).
• Ability to physically sit at a desk for long periods, operate a computer, and listen/speak clearly on the phone and in-person.
• Ability to pass job-related employment screenings.
