Job Description

POSITION OVERVIEW

The Billing Supervisor is responsible for  managing all aspects of billing and related vendor invoice processing. This role ensures accuracy, timeliness, and compliance with contractual obligations while driving process improvements and maintaining strong internal controls. Additional responsibilities include month-end reconciliations, ad hoc reporting for internal and external stakeholders, and supporting the implementation of billing-related systems and procedures.


 

ESSENTIAL RESPONSIBILITIES

  • Billing Oversight
    • Lead custom billing function for 400-million-dollar entity while maintaining a comprehensive understanding of billing and AP processes, including 3-way match.
    • Lead billing meetings with sales leadership to ensure billings have occurred.
    • Ensure customer invoices are processed accurately and promptly in alignment with purchase orders and contractual terms.
    • Validate vendor invoices and cost allocations to ensure accurate AP payments and proper reflection on customer invoices.
    • Complete non-product and service fee billings for assigned accounts prior to month-end close.
  • Team Leadership
    • Directly manage a team of four to six billing associates, including hiring, training, mentoring, and conducting annual performance reviews.
  • Operational Excellence
    • Monitor open orders and warehouse shipment reports to ensure timely invoicing, minimizing open jobs at month-end.
    • Identify root causes of billing issues and implement effective solutions.
    • Drive process improvements and leverage automation opportunities to enhance efficiency. 
  • Cross-Functional Collaboration
    • Act as the accounting liaison for new customers and project onboarding.
    • Partner with production, sales, and senior management to resolve billing inquiries and maintain strong communication.
  • Month-End & Audit Support
    • Complete work-in-process reconciliations and related journal entries.
    • Assist with annual audit requests and sample compilations.
  • Additional duties or special projects as assigned.

 

EXPERIENCE, EDUCATION & PHYSICAL REQUIREMENTS

  • Bachelor’s degree required.
  • 4–6 years of experience in a business environment; prior billing or AP experience preferred (manufacturing or distribution industry a plus).
  • Advanced proficiency in Microsoft Excel; strong skills in Word and other Office tools.
  • Detail-oriented, process-driven, and proactive in problem-solving.
  • Excellent written and verbal communication skills with the ability to collaborate across departments and with senior leadership.
  • Experience in AS400 ERP a plus.
  • Physical Requirements: Ability to physically sit at a desk for long periods, operate a computer, and listen/speak clearly on the phone and in-person. 
  • Ability to pass job-related employment screenings.


Compensation & Benefits 

The pay range for this role is $68,000 to $74,000 per year.  This range represents what the company reasonably expects to pay an associate for this role based on current market data, internal equity, and other business factors. The actual compensation offered may vary depending on factors such as relevant experience, qualifications, geographic location, and other considerations.
