Job Description

The Purchasing Associate is responsible for all receiving, purchasing, and material planning tasks within TED Supply. Purchasing is an integral element of the success of TED Supply as we are a Quote to Order to Fulfillment partner for Non-Profits. TED Supply believes in and operates under the “Team” concept. 


Responsibilities Include:

  • Receiving
    • Expectation is that all physical warehouse receipts will be entered into Synergy/Papermaster daily. No more than a 24-hour time lag.
    • Verify vendor costs against purchase cost and close out procedure to generate Cost Verification report.
    • Maintain, manage and communicate to Warehouse Delivery Schedule located on the Google Drive. Schedule vendor receipts between 9-2.
    • Daily Receiving should take no more than four hours and be complete by midday.
  • Purchasing
    • Manage minimum/maximum quantities for Warehouse/Stock Items.
    • Run the Auto Generate Report mid-late afternoon after all receiving is complete.
    • Create and Run all Purchase Orders created in the Auto Generate process.
    • Email PO’s to vendors. Follow up with vendors for acknowledgment/confirmations, confirm ship and delivery date.
    • Manually enter Vendor Systems
    • Net Source/Essendant, True Value, Amazon
  • Purchasing for Drop Ship
    • Type 2 Open Order Report Management
    • Vendor Back Order Management
    • System development for efficient backorder review on a daily/weekly basis
    • Redirect System Generated PO to other vendors when items are out of stock, have extended lead times, or any other condition where PO terms are not met.
    • Delete and re-order
    • Works with Sales Management to insure all Floor Pricing is current.
    • vendor PO follow up.
    • Communicate status of back orders to leadership daily.
    • Vendor W9’s and Proof of Insurance
    • Sourcing
    • New item and new vendor sourcing
    • Other duties as assigned.
      • Physical Requirements: While performing the duties of this job, the employee is regularly required to physically sit at a desk for long periods, operate a computer, and listen/speak clearly on the phone and in-person.
      • Pre-Employment Screening: Ability to successfully pass job-related pre-employment screenings to include a criminal background check and drug test


The ideal candidate will have:

  • ERP Experience with DDI, Synergy, or Profit21 a plus. Alternatively, MS Dynamics, NetSuite, or SAP.
  • Strong MS Excel skills desired
  • BA/BS degree in Finance, Accounting, or Business Administration preferred or minimum 2 years of relevant work experience.
  • High Energy, Positive Attitude, Strong Team Work Ethic with an interest in process improvement
